Job Summary
The Central American Resource Center (CARECEN) seeks to hire for a full-time, bilingual position of Intake Screener & Administrative Assistant to aid our Los Angeles office. This position serves as the public’s initial contact with CARECEN’s Citizenship & Family-Based team and is pivotal to the formation of a positive first impression of the organization. The Intake Screener & Administrative Assistant is responsible for pre-screening clients, collecting intake documents, booking appointments, clerical and administrative duties, answering telephone inquiries and making referrals for services not provided by CARECEN. The Intake Screener & Administrative Assistant reports directly to the Supervising and Managing Attorneys.
Job Responsibilities/Essential Functions
- Greet callers, visitors, and provide general information on Citizenship and Family Based team and CARECEN services;
- Pre-screen potential clients by telephone and in person;
- Collect and review intake documents from clients by email and in person;
- Assist clients in completing intake forms and scheduling appointments;
- Conduct ongoing data entry, compiling and maintaining Citizenship and Family Based team statistics;
- Maintain hotline call logs and reports;
- Processing Mail and updating systems with case information;
- Perform general clerical duties for the Citizenship and Family Based team;
- Other duties as assigned by management.
Required Skills/Qualifications
- Spoken and written fluency in English and Spanish languages required;
- Excellent verbal, interpersonal, customer service skills with proven ability to interact in an appropriate manner with diverse groups of individuals;
- Ability to exercise tact, diplomacy, discretion, and appropriate measures of friendliness when greeting/directing clients, receiving sensitive information, and providing information, referrals, or other assistance, required;
- Good working knowledge of local nonprofits and their respective service areas –OR- the ability to quickly learn & understand availability of nonprofit services, required;
- Flexibility/adaptability and the ability to work productively in a periodically stressful environment required; ability to receive and process large numbers of clients preferred;
- Ability to work independently when needed and with creativity in problem solving situations strongly preferred;
- Strong organization skills required;
- Knowledge of history of Central American immigrant community, preferred.
- Experience using multi-line telephone equipment, Excel, Microsoft Office, preferred.
- High school degree or equivalency required; college degree preferred.
- Commitment to the mission and goals of CARECEN.
Classification and Work Schedule
This is a full-time, non-exempt position. Office hours are 9:00 am to 5:00 pm, Monday – Friday, flexibility required based on the needs of the organization. The normal workweek for this position is 35 hours, equaling 7-hour workdays. Responsibilities may require working evenings and some weekends. The position is part of the bargaining unit represented by the union.
Travel Requirement
Ability to travel to CARECEN office and offsite in Los Angeles. Mileage reimbursement is available. Ability to drive with a valid CA license and a registered vehicle is preferred.
Work Environment & Physical Demands
This position operates in a professional office environment and in the field for community activities. The position requires the ability to lift files, open filing cabinets and bend or stand, as necessary.
